Tips for Renting Space

The following are some obvious and not so obvious considerations to keep in mind as you search for, inspect and commit to a rental rehearsal and/or performance space. This information is provided courtesy of our strategic partner, A.R.T./New York.

As You Get Started:

  • Will the space be accessible whenever you may need it?
  • Is your rental exclusive (some theatres rent the space to other companies during times when your company is not occupying the space)? Many companies use dark nights (typically Mondays) to host readings.
  • Ask what the storage policy is during rehearsal and/or your productionıs run.
  • Make sure the space is suitable for your needs. Will the theatre accommodate the number of people and set pieces or equipment you'll need to bring in?
  • Must a fireguard be present at all performances? A fireguard is certified by passing a written exam administered by the New York City Fire Department. Information (PDF) about taking the fireguard exam
  • Do you need to comply with Equity or other union regulations?
  • Must you provide volunteer or worker's compensation (required by Equity)?
  • Must you provide general liability insurance (for the audience)?

When Checking Out a Space:

  • Ask to see anything that you are told will be available to you (i.e. technical booth, lighting and sound equipment, dressing rooms, box office, etc). If you are promised any working equipment or air-conditioning, ask to turn it on.
  • What may be going on in rooms or areas around the space that may be disturbing (another performance or rehearsal, dance, classes, etc)?
  • How clean are the facilities?
  • Do you feel comfortable or safe in the neighborhood (especially at night)?
  • Is the space relatively accessible to public transportation?
  • What restaurants are available in the area?

Once You Have Decided to Rent:

  • First and foremost: A written contract is highly recommended as it will supersede anything that has been agreed upon verbally. Read the contract carefully for everything you have discussed.
  • To avoid potential problems, be honest about what the use of the space will involve. Note any lighting equipment that will be loaded in; whether music and dance will be involved (there is a category in the listing indicating whether the space is suitable for dance); and any complicated set specifications.
  • Be clear about dates the theatre is to be rented.
  • Be clear about payment arrangements. Ask how and when payment must be made and what the cancellation policy is.
  • Ask who on the theatre staff will be on call when you are there, and how to reach them 24/7 in case of a space emergency.
